Automating the Busy Work

There’s a point in every business where the small tasks start stacking up, emails, data entry, updating systems, and keeping everything organized. In this episode, Tim sits down with Matt Wood, founder of Checkmark Automations, to talk about how businesses can eliminate that noise and focus on what actually matters.

What Checkmark Automations Does

Checkmark Automations focuses on workflow and process automation, helping businesses connect their systems so they work together instead of creating more work.

Matt describes it simply, most businesses spend too much time on tasks that don’t actually add value. Updating CRMs, syncing data between platforms, responding to repetitive inquiries, all of it eats into time that could be spent serving customers.

The goal is to remove that friction. When your systems talk to each other, your team doesn’t have to.

Start With the Process, Not the Tool

One of the most important takeaways from this conversation is Matt’s approach, don’t start with AI or software, start with the process.

Before automating anything, his team maps out the entire workflow:

  • How customers find you
  • How you sell to them
  • How you deliver your service
  • What happens after the sale

From there, they identify where time is being wasted or where things are breaking down, then apply the right tools to fix it.

It’s not about adding more tech, it’s about building a better system.

Where AI Actually Fits

AI is a powerful tool, but Matt makes it clear, it’s just one piece of the puzzle.

A great example is handling customer inquiries.
Most businesses get the same questions over and over again, things that are already answered on their website.

Instead of spending time copying and pasting responses, AI can handle those repetitive interactions, freeing up time for the 20% of conversations that actually need a human touch.

That’s where the real value is, not replacing people, but giving them more time to do meaningful work.

Automations That Actually Move the Needle

Some of the most impactful automations are also the simplest.

Think about what happens when a new lead comes in:

  • They fill out a form
  • Someone needs to respond
  • They get added to a CRM
  • Sales needs to follow up
  • Marketing needs to track them

Without automation, that can take 20 to 30 minutes per lead.

With the right setup, all of that can happen instantly, acknowledgment email, CRM entry, internal notification, calendar scheduling, all without anyone touching it.

It’s not flashy, but it’s incredibly effective.

The Balance, What Not to Automate

One of the more interesting parts of the conversation is what shouldn’t be automated.

Just because something can be automated doesn’t mean it should be.

There are parts of a business that need human judgment, oversight, and connection. If you automate everything, you risk losing visibility into your own operations and weakening the customer experience.

The goal isn’t full automation, it’s the right automation.

Building a Business in Bozeman

Matt’s path to building Checkmark Automations started in Colorado, eventually bringing him to Montana State University, where he studied snow science and geography.

From there, experiences in startups and the outdoor industry led him to see inefficiencies in business operations, which ultimately became the foundation for his company.

Like many guests on the show, Bozeman wasn’t just a place to live, it became part of the reason to build something meaningful.

Automation Should Make Things More Human

One of the strongest themes from this episode is the idea that automation should actually create more human connection, not less.

By removing repetitive tasks, business owners and teams can spend more time:

  • Talking to customers
  • Building relationships
  • Delivering a better experience

In a place like Montana, where that personal connection matters, that’s a big deal.
